Course notifications: set automated messages for course events

Intended Audience:  Administrators

Send your learners email messages about enrollments, due dates and other events. Choose which events prompt messages to learners, for a particular course.

Enrollment emails vs other course notifications

By default, Safety Made Simple sends an email to learners to tell them about new enrollments. You can disable enrollment emails for the whole portal, or for individual courses.  
Note: You can enable enrollment emails for the portal and then disable them for individual courses. However, you can't disable enrollment emails for the portal and then enable them for individual courses. 

Enrollment emails are different from other reminders available in Safety Made Simple at the course level, including:
  • enrollment reminders for courses: up to 4 reminders you set based on the enrollment date
  • ILT session reminders: up to 2 reminders before a session begins
  • due date notifications: reminders based on the date which the course is due

You can disable course enrollment email at the portal level, and still use other course-level reminders. 

Turn off enrollment emails on a portal

The setting for this feature applies to the whole portal, so is part of portal settings.

  1. From main navigation go to SettingsEmails > General Settings.
  2. Select Disable enrollment emails.
  3. Save to finish.

Turn off enrollment emails on a course

By default, the application sends an email to learners about new enrollments. You can disable enrollment emails for individual courses if required. 

  1. From main navigation go to Courses > my course and select Notifications.
  2. In Enrollment Notifications select Disable enrollment email for this course?
  3. Save to finish. 

Add enrollment reminders to a course

Enrollment reminders notify users that they have not yet completed, passed, or failed the course. You set the reminders a number of days after enrollment, and can send up to 4 reminders.

For best results, set up reminders for a course before enrolling any learners.
  1. From main navigation go to Courses > my course and select Notifications.
  2. In Enrollment Notifications select Send/Enable enrollment reminders? 
  3. Enter of number of days after enrollment, for up to 4 reminders.
  4. Save to finish. 
Tip: If you don't need all the reminders, leave the later fields blank.

The following screenshot shows a sample setup of enrollment reminders for 3, 7, 14, and 28 days after the enrollment. 


Adding enrollment reminders when learners are already enrolled on the course

Ideally, you set up reminders before enrolling learners in a course.

If you add enrollment reminders after enrolling learners, learners in Not Started or In Progress status still get reminders, after you turn them on. Safety Made Simple checks when you enrolled the learner and compares it to the reminder settings, and sends the "catch up" reminders once a day.

Example:

You enrolled learners on a course 20 days ago.

Today you set up enrollment reminders for the course, as shown in the previous screenshot: at 3, 7, 14, and 28 days after enrollment.

Safety Made Simple compares the learners' enrollment date (20 days ago), and sets up 1 reminder to "catch up", for any learners' enrollments in Not Started or In Progress status.

Safety Made Simple runs the 4th reminder at day 28, as scheduled.


Due date notifications

Note: you need to set due dates and valid periods, before due date notifications become available in the course Notifications. 

The automated reminders for learners, based on the course Due Dates, have several options:

  • Due date reminders: send up to 2 reminders before a course's due date
  • Overdue reminders: send up to 2 reminders after a course's due date
  1. From main navigation go to Courses > my course and select 
  2. From Due Date Notifications, select Send/Enable Due Date Reminders?
  3. Enter of number of days into 1st Reminder, 2nd Reminder.
  4. Select Send/Enable overdue reminders?
  5. Enter the number of days into 1st Reminder2nd Reminder.
  6. Save to finish.

The following screenshot shows a sample setup of due date reminders for days leading up to the due date, and reminders after the due date.

Completion notifications by email

Set or disable notifications to tell learners they have completed a course, at the course level.

Tip: If there is a certificate assigned to the course at the time the learner completes the course, Safety Made Simple sends the certificate with the completion notification, as a PDF.

  1. From main navigation go to Courses > my course and select Notifications.
  2. In Completion Notifications select one of:
    1. Never (default)
    2. When Completed or Passed
    3. When Completed, Passed or Failed
  3. Save to finish.

Add a course banner to use in custom emails

Add a banner to your course which the app includes in your custom email templates.

  1. From main navigation, go to a course and select Notifications.
  2. In Email Banner Image, select an image.
  3. Save to finish.
