Checklists: create checklists and add to a course

INTENDED AUDIENCE:  Admins

Summary

Create and edit an on-the-job training (OTJ) checklist and add it to a course. Re-use the checklist as often as needed.

Note: if you create the checklist from the Courses page, you can edit the checklist until you publish the course.
If you add the checklist from the library, Safety Made Simple locks the checklist as soon as you add it to a draft course.

After publishing a checklist in a course, you can’t edit it - either through the library, or within the course. To change a checklist in a published course, you need to re-version the course.

Access permissions

Admins, instructors who are course owners, and managers with instructor permissions can:

·        create checklists with their items and add them to courses

·        observe checklists and verify them for learners

Instructors who are not course owners can observe checklists and verify them for learners.

By default, the course owner - the person who created the course in Safety Made Simple - is the first course instructor, and a checklist observer.

The course owner or a portal admin can always observe and verify checklists, as a backup option for instructors, but they don’t typically get observation requests.

Courses can have multiple instructors. Admins can assign 1 or more learners to a specific instructor.

When learners are assigned to an instructor, only the instructor receives the learners' observation requests, and can verify their learners' checklists. Other instructors no longer have access.

You can change the course owner through a course’s Additional Settings.

You can give instructors the optional permissions to create courses, and become course owners.

You can give managers the optional permissions to act as instructors, and become course owners.

Create a checklist in a course

1.     From main navigation go to Courses > your course.

2.     From secondary navigation go to Content.

3.     From Add New Content select Add checklist.

4.     Enter a Name for the checklist, and Save.

5.     Select Add checklist item to create the first item in the checklist, or from Actions, select Add checklist item.

6.     For Checklist item details enter the item or task you need the learner to complete, and Save.

7.     Repeat the last 2 steps until your checklist is complete.

Create a checklist in the library

1.     From main navigation go to Library.

2.     From secondary navigation go to Checklists.

3.     From the action menu select + Add new checklist.

4.     Enter a Name for the checklist, and Save.

5.     Select Add checklist item to create the first item, or from Actions, select Add checklist item.

6.     For Checklist item details enter the item or task you need the learner to complete, and Save.

7.     Repeat the last 2 steps until your checklist is complete.

Edit a draft checklist

You can edit a checklist’s title and its items while the checklist is in Draft state.

You can also change the order of the items by dragging and dropping items.

For checklists you create in the course, the checklist and its items are editable until you publish the course.

For checklists you create in the library, the checklist is editable until you add it to a course. Safety Made Simple locks the library-based checklist as soon as you add it to a course, even while the course is in Draft state.

Broadly:

·        from either the course or the library, navigate to my checklist

·        select my checklist name to edit it, or navigate to More (aka 3-dot menu) > Edit

·        change the checklist title, edit existing checklist items, or add new items

·        save changes to individual items

Add a checklist from the library to a course

1.     From main navigation go to Courses > your course.

2.     From secondary navigation go to Content.

3.     From Actions select Add from the library.

4.     From the dialog that opens, select the checklist(s) for the course, and select Add to finish.

Select checklist settings

After you create a checklist in a course or add a checklist from the library, Safety Made Simple displays Checklist settings for the checklist module. These settings decide how much information the learner can access in the course.

When you use multiple checklists in a course, you set each checklist separately.

1.     From main navigation go to Courses > your course.

2.     From secondary navigation go to Content.

3.     Select the checklist module or navigate to the module’s More (aka 3-dot menu) > Edit.

4.     Review the following options and change settings if required:

·    Show items to learner: default setting is on

·    Show status of items to learner: default setting is off

5.     Save to finish.

Bypass sequencing for a checklist

For courses where you sequence your content: you can optionally set the course to bypass sequencing for checklists, from the course’s Content page.

This option is similar to bypassing an assignment’s grading.

Bypassing a checklist means that the instructor observing and approving the learner’s training doesn’t hold up a learner’s progress on a course. The other course modules remain sequenced: learners must complete the non-checklist modules in the order shown.

Note: currently, you can approve checklists but you can’t reject them. If learners don’t meet the checklist requirements, message them to agree on next steps.

To manage this step, Safety Made Simple recommends turning on Bypass sequencing for checklists, to prevent learners getting “stuck” in a course, because they need to repeat the checklist module.

1.     From main navigation go to Courses > your course.

2.     From secondary navigation go to Content.

3.     From Content Options, turn on the following options:

·    Sequence your content

·    Bypass sequencing for checklists

4.     Save to finish.
